CUSTOMER RELATIONS EXECUTIVE

SafeDeposits Scotland is Scotland's leading tenancy deposit scheme. We look after approximately 135,000 deposits for tenants and landlords in the private rented sector, and we offer a free adjudication service to settle disputes between landlords and tenants at the end of a tenancy. SafeDeposits is a not for profit organisation and we have a charitable trust which gifts money to causes which promote best practice in the housing sector. SafeDeposits delivers industry leading service to tenants and landlords and we are currently looking to hire two Customer Relations Executives to help deliver that great service to all of our clients across the company, and to any potential new customers.

Job Title:                  Customer Relations Executive

Department:             Customer Relations Team

Primary Location:     Glasgow

Reports to:                Customer Relations Manager

Hours of Work:          Full Time

Salary:                       £24,500 per annum

Key Purpose:

The post holder is expected to effectively carry out various administration tasks in the efficient delivery of excellent customer service to all service users and clients. This is a customer service and sales role with Scotland's leading tenancy deposit scheme. The role will involve winning new clients for the organisation as well as providing our industry leading service to existing clients. As SafeDeposits Scotland has clients across the whole of the country this role will require extensive travel across Scotland and therefore access to a vehicle is essential for this role. This role would suit someone with an interest in the property sector/private rented sector. It would suit an individual with sales experience or with a background in property/lettings. This role is varied and challenging and as such it will involve a 3 month training period. The post holder will often be the first point of contact for potential new members and will need to work closely with our customer operations team, marketing officer and partners.

Key Accountabilities:

  • Provide excellent customer service to all service users and clients
  • Identify potential new letting agent/landlord customers for the company
  • Visit potential new customers for the company with a view to them becoming a client of SafeDeposits Scotland
  • Assist in the implementation of the agreed Business Development strategy to secure new members into SafeDeposits Scotland
  • Make periodic visits to existing customers to ensure they are satisfied with the service they are receiving from SafeDeposits Scotland
  • Build solid working relationships with new clients, built on trust, personability and a sound understanding of tenancy deposit protection and the wider private rented sector
  • Provide support and training to new and existing customers on the use of the SafeDeposits online system and on the formal disputes process
  • Contact any potentially dissatisfied customers with a view to resolving their issues
  • Be a point of contact for clients should they require assistance
  • Attend at industry events to represent SafeDeposits; this may also include some public speaking
  • Gain insight from customers and prospective customers to utilise in campaigns and new business marketing
  • Analysing data, reaching conclusions, making recommendations and presenting clearly and concisely both orally and in writing
  • Contribute to and develop promotional materials in all media channels for new and prospective customers, including standardising and keeping up to date presentations for speakers to use at events
  • Attend and contribute to regular team meetings
  • Carry out magazine drops and deliver promotional material for SafeDeposits across Scotland
  • Update and maintain customer database and other relevant in-house systems
  • Handle data sensitively
  • Complete all admin/ad-hoc tasks as required

Experience and Knowledge Required:

  • Experience of working in a customer service environment
  • Previous property experience desired, but not essential
  • Some previous sales experience would be advantageous
  • Computer literacy including proficiency in using MS Office
  • Good interpersonal skills, communicating effectively in order to advise and inform colleagues, SafeDeposits Scotland's potential members and other stakeholders

Requirements of the role:

  • Well-developed communication skills
  • Diplomacy skills are essential in this role
  • Great customer service skills
  • Ability to prioritise a busy workload
  • Excellent verbal and written communication skills
  • A sales and/or property background would be advantageous for this role; full training will be provided in relation to Tenancy Deposits and disputes
  • Ability to multi-task, prioritise workload and use initiative
  • Problem solving abilities including good numeracy skills
  • Able to handle sensitive data and an ability to demonstrate professionalism, maturity and discretion
  • Able to work well within a team environment
  • Must be able to travel widely across Scotland as required, including overnight
  • Full driving licence essential and access to own vehicle
  • Must be willing to work towards the Propertymark Level 6 award in Residential Letting and Property Management (Scotland) qualification; the company will pay for the successful candidate to undertake this qualification
